Invite users and assign appropriate access

Give each person the access required for their role without sharing accounts or exposing unnecessary financial information.

Step 01

List business responsibilities

Document who creates sales, manages inventory, records purchases, reviews finance and administers security before assigning access.

Step 02

Invite individual users

Use a unique email or supported sign-in identity for each person. Shared accounts weaken accountability and should be avoided.

Step 03

Assign the minimum required role

Start with the least privilege needed for daily work. Add broader access only when the responsibility is confirmed.

Step 04

Test the user experience

Ask the user to sign in and confirm that required pages are available while sensitive pages remain restricted.

Step 05

Review access regularly

Remove access promptly when staff leave or responsibilities change. Keep owner and administrator assignments limited.

Important notes

Validation and responsibility

  • Administrator actions may require an AAL2 authenticator session.
  • Permissions protect application access, but teams must also protect their email accounts and devices.
